Memos
Memos are short internal notes you attach to a lead. They’re visible to every teammate with access to the source, but they’re never sent to the customer and never visible on the source platform. Use them to capture budget, quirks, scheduling preferences, handoff notes — anything that helps the next person (including future-you) pick up the conversation.
Getting here
In NZ Leads, go to Leads and open a lead. Click the Memos tab inside the Lead Details dialog. You can also click the memo preview in the Last Memo column of the Leads table — that opens the lead directly on the Memos tab.
The memo composer
The composer on the Memos tab is intentionally minimal — a textarea plus a single Add button. It does not have Send, Send scheduled, Save as Quick Reply, or Open Quick Replies — those are only on the Messages tab composer. Memos are internal-only, so there’s nothing to schedule and no customer-facing reuse.
Adding a memo
Open the Memos tab
Inside the Lead Details dialog, click Memos.
Type your note
Memos must be at least two characters long.
Click Add
The memo is saved immediately and appears in the list with your email and the current timestamp.
What a memo shows
Each memo in the list shows:
- Author email — who wrote it.
- Timestamp — when it was added.
- Body — the note itself.
- 3-dot menu — available on memos you wrote, with a Delete option.
The most recent memo’s text also appears as a preview in the Last Memo column of the Leads table.
Deleting a memo
Only the author of a memo can delete it. Open the 3-dot menu next to your memo and choose Delete. The memo is removed for everyone. There is no edit — if you need to change something, delete the old memo and add a new one.
No edit, only add and delete. Memos are intentionally append-only. If you need to correct something, delete the old memo and write a new one.
What memos are good for
- Budget and pricing context — “Asked for under $2,500”, “Shopping multiple quotes”.
- Scheduling notes — “Only available weekends”, “Don’t call after 6pm”.
- Qualification — “Decision maker confirmed”, “Researching only”.
- Project specifics — “Needs finished before June 1”, “Wants finish samples”.
- Handoffs — “Alex picked this up — expecting callback Tuesday”, “Needs a site visit”.
- Watch-outs — “Has disputed a charge before, handle carefully”.
Who can see memos
Every teammate on your business who has access to the source can read every memo on that source’s leads. The customer cannot — memos never appear in the thread on the source platform and are never sent in a message.
