Memos
Memos are just private notes you can write about any lead. Your customers will never see them - they’re only for you and anyone else on your team.
Think of it like having a notepad next to your phone where you jot down stuff about each customer call.
What should you put in memos?
Really, anything that might be useful later:
- How much they want to spend
- When they want the work done
- If they seem serious or just shopping around
- Stuff like “don’t call after 6pm” or “mentioned they got 3 other quotes”
- Which team member should handle this one
How to add a memo
Go to your leads table and click in the “Memos” column for whoever you want to add a note about. Type whatever and click “Add”.
The memo shows up in your conversation but the customer never sees it.
A few things to know
Your whole team can read any memo, but customers can’t. Once you save a memo you can’t edit it (you’d have to delete it and write a new one). You can only delete memos you wrote yourself.
Writing good memos
Don’t overthink it, but here’s what works:
Be clear about money stuff - “Budget is around $2000” or “Wants cheapest option”
Note their style - “Very responsive to texts” or “Only wants to talk on weekends”
Remember specifics - “Needs it done before their daughter’s wedding in March”
Flag issues - “Seemed sketchy about payment” or “Super picky about everything”
Help your team - “Mike should call this one” or “Send them the premium package info”
Why bother with memos?
Look, you talk to a lot of people. Three weeks later when someone calls back, you’re not going to remember that they mentioned their tight timeline or that they hate phone calls.
But if you wrote a quick memo, you’ll sound like you actually care about their project instead of asking them to repeat everything.
Plus when someone else on your team has to take over, they won’t be starting from scratch.
